Scope and operator

This Privacy Policy explains how AeroCivil collects, uses, discloses, and safeguards personal information when you visit aerocivil.us, submit a consultation request, or otherwise communicate with us through the website.

The website is operated by Aerocivil US, LLC, a LLC formed in the State of Texas, with an address at 925 S. Mason Rd., Suite 438, Katy, TX 77449, United States. This Policy applies only to the website and related first-party communications. A separate agreement may govern information processed while delivering services to a client.

02

Information we collect

Information you provide

When you request a consultation, we may collect your name, company or organization, email address, telephone number, requested service or operation type, and the high-level operational information included in your message.

Please do not submit passport details, government identifiers, payment-card data, medical information, security credentials, precise passenger manifests, or other sensitive operational information through the public form. We will arrange an appropriate channel when additional information is required.

Information collected automatically

We collect limited technical and usage information, including the page visited and the origin of a referring website. Our systems and infrastructure providers may also process network information such as IP address, browser or device information, language, timestamps, and security events. The website uses protected or hashed identifiers for rate limiting, duplicate prevention, and abuse detection.

03

How we use information

We use personal information to:

  • Review and respond to consultation and service inquiries.
  • Communicate about requested aviation support or related next steps.
  • Operate, maintain, secure, and improve the website.
  • Measure page usage and understand how visitors reach the website.
  • Prevent spam, fraud, duplicate submissions, and technical abuse.
  • Comply with legal obligations and protect legal rights.

Where applicable law requires a legal basis, we rely on steps requested before entering a contract, performance of a contract, legitimate interests in operating and securing our business, compliance with law, or consent when specifically requested.

04

How information is disclosed

We may disclose information to service providers that support website hosting, security, internal reporting, inquiry management, and email delivery. The website may use Resend to deliver consultation notifications and a restricted first-party dashboard to store and review submissions and page-view data.

We may also disclose information to professional advisers, competent authorities, or other parties when reasonably necessary to comply with law, protect people or operations, investigate misuse, establish or defend legal claims, or complete a corporate transaction.

AeroCivil does not sell personal information and does not use personal information from this website for cross-context behavioral advertising.

05

Cookies and analytics

AeroCivil does not currently use advertising cookies or third-party advertising pixels. Its first-party page-view measurement records a visited path and referring origin without placing an analytics cookie in the visitor's browser.

Essential infrastructure may use temporary technical mechanisms for security, routing, or availability. If AeroCivil later introduces nonessential cookies or advertising technology, this Policy and any required consent controls will be updated before that technology is enabled.

06

Retention

Consultation requests are generally retained for up to 24 months, unless a longer period is reasonably necessary for an active client relationship, legal obligation, dispute, or security matter. Limited anti-abuse records are retained for short operational periods, generally from 48 hours to seven days.

Usage records are retained only as long as reasonably necessary for reporting, security, and website improvement. Information is deleted, anonymized, or securely archived when it is no longer required.

07

Security and international transfers

We use reasonable administrative, technical, and organizational safeguards designed to protect information. No internet transmission or storage system is completely secure, and we cannot guarantee absolute security.

AeroCivil and its providers may process information in the United States and other countries where operations or providers are located. International processing is subject to applicable law and the contractual and technical safeguards used by the relevant providers.

08

Your privacy rights

Depending on your location and applicable law, you may have rights to request access, correction, deletion, restriction, portability, or information about disclosures of personal information. You may also have a right to object to certain processing or withdraw consent where processing is based on consent.

To submit a request, contact permits@aerocivil.us. We may need to verify your identity and authority before responding. AeroCivil will not discriminate against you for exercising an applicable privacy right.

09

Children and external services

This business-to-business website is not directed to children under 18, and we do not knowingly solicit personal information from children through it.

Links to third-party websites or services are provided for convenience. Their privacy practices are governed by their own notices, not this Policy.

10

Updates and contact

We may update this Policy to reflect operational, technological, or legal changes. The revised version will be posted here with an updated date. Material changes will be communicated when required by law.
